Terms and Conditions of KONTORA coworking
Before receiving any coworking services every active resident has to go through the registration process and get acquainted with actual Terms and Conditions of service providence, confirming this fact signing the registration form with the personal data requested.
In case of failure to follow any of terms determined in these Terms and Conditions, KONTORA coworking services provider has the right to restrict or terminate the rights of certain clients, active residents or visitors to stay and to use the facilities and services located in the space.

TERMS AND DEFINITIONS:
KONTORA, KONTORA LIGHT - trademarks which the services operator uses while providing the coworking services (thereafter in Terms - KONTORA).
Coworking, coworking services - organization of work and leisure of people, both individually and in teams, with different types of employment, being in a single workspace (collective office).
Resident (active resident) - an individual, a user of coworking services, who uses services and has an active (current) subscription to some coworking service (service).
Client - an individual or legal person (company) who acts as a Customer providing services (services) for himself or his employees.
Visitor - an individual who is temporarily in the coworking space and is not an active resident.
Open space office - space (room) which is designed for work, equipped with office desks, office chairs and other equipment.
Hot desk, Dedicated desk - equipped workplace (office desk and office chair) in the shared office (open space).
Team room - a set of workplaces (office desks and chairs) within one room with limited access to it.
Meeting room - the room which is equipped with a table or several tables, chairs and other equipment, intended for negotiations.
Lounge zone - a space intended for the rest of coworking residents, including the consumption of food and beverages.
Access card - a physical plastic card with a unique ID number and KONTORA logo, which contains a chip (label) that carries identification and other information, and is used to access (open) a certain space (room) within coworking by radio frequency recognition.
Provider (operator) of coworking services - legal entity or individual entrepreneur that provides coworking services (workplaces rental with a package of relevant services)
Location (branch) - the place of service providence.
Subscription (rate) - a prepaid service of a certain type, which allows to use one or a set of several coworking services within a certain time for one or more people.

COWORKING SERVICES PROVIDER
Coworking space operator is PE “Craft City” or one of the partners of the company, an individual entrepreneur or a legal person, which is specified in the Agreement as a “Contractor”.

LIST OF SERVICES (TYPES OF SUBSCRIPTIONS) AND CONDITIONS OF THEIR USE IN KONTORA COWORKING

HOT DESK SERVICE RATE
Hours of service: reception desk working hours.
“Hot desk” service rate provides the opportunity to work in an open space office, using any free (not occupied by another resident) desk. The time of providing the “Hot desk” service in the open space office is provided within the working hours of the reception desk at a relevant KONTORA coworking location. This rate though does not provide the possibility to fix (book) a desk for a resident for a certain period of time or to leave personal belongings during non-working hours of reception.
The place of “Hot desk” service rendering is the open space office of the relevant location (branch) of KONTORA coworking, which is defined in the Agreement.
With the additional consent of the KONTORA coworking representative, the resident may be given the opportunity to choose the place of service (location) or change it as needed within the time of service.
Residents using the “Hot Desk” service have the right to use joint coworking services within the limits set by the relevant subscription (rate).
Residents of the “Hot desk” service have the right to receive visitors (coworking guests) who may be accompanied by such active residents only in the lounge area for up to 1 hour / day and with a limit of 3 guests / day (unless otherwise agreed with KONTORA Coworking representative. Residents of “Hot Desk” service rate plans for less than 1 month (for example, 1 Day Pass or 10 Days Pass) may not receive visitors (guests) in the coworking areas, unless otherwise agreed with the KONTORA coworking representative.

DEDICATED DESK SERVICE RATE
Hours of service: reception desk working hours and limited access from 21:00 to 9:00.
‘Dedicated desk’ service rate provides the opportunity to work in an open space office using one working desk, which was pre-selected for use by the resident and agreed with the KONTORA coworking representative. The time of providing the “Dedicated desk” service in the open space office is provided within the working hours of the reception desk of the relevant KONTORA coworking location and limited access from 21:00 to 9:00. This service rate provides the resident an opportunity to fix (book) a specific desk for a certain period of time and leave personal belongings during working and non-working hours of the reception desk. It is allowed to leave documents, office equipment, stationery, and small household items on the fixed working desk. Due to maintaining the general comfort of other residents, large items such as packing boxes, etc., as well as items that are prohibited for storage and use within KONTORA coworking are not allowed to be stored on fixed working desks in the open space office.
The place of rendering the ‘Dedicated desk’ service is the open space office of the relevant KONTORA coworking location (branch), which is defined in the Agreement.
Residents using the ‘Dedicated desk’ service have the right to use common coworking services within the limits set by the relevant subscription (rate).
Residents using the ‘Dedicated desk’ service have the right to receive visitors (coworking guests) who may be accompanied by such active residents only in the lounge area for up to 1 hour / day and with a limit of 3 guests / day (unless otherwise agreed with KONTORA Coworking representative.

TEAM ROOM SERVICE RATE
Hours of service: 24/7 access.
The ‘Team room’ service rate involves determining the number of working desks in a certain space (room) assigned to the Client and intended for the work of residents who are employees of the Client.
On the fixed desks (tables) and in other designated areas of the team room it is allowed to leave documents, office equipment, stationery, small household items of residents, as well as additional furniture and inventory provided either by the coworking or brought by the Client himself. In order to maintain general comfort, as well as to follow fire safety regulations and requirements, large items, such as packing boxes (including empty ones), as well as items that are prohibited for storage may not be stored in team rooms and use within KONTORA coworking.
The place of rendering ‘Team room’ service is the appropriate location (branch) of KONTORA coworking, which is defined in the Agreement.
Residents using the ‘Team room’ service have the right to use common coworking services within the limits set by the relevant subscription (rate).
Access to the selected space (room) can be processed only by a list of residents identified by the Client, or by KONTORA coworking staff. Such access is available using access cards and fingerprints.
The team room may use the maximum number of employees of the Client, which does not exceed the number of working desks provided in this room, unless otherwise agreed with KONTORA representative. All active team room users must be registered as coworking residents in the operator's database.
Residents using ‘Team room’ service have the right to receive visitors (coworking guests) in their designated area who may be accompanied by such active residents without time restrictions during the day, or in the lounge area for up to 1 hour / day and with a limit of 3 guests / day (unless otherwise agreed with KONTORA Coworking representative).
Residents using ‘Team room’ service can install additional furniture, branding, minor repair works or other work within the room only after prior agreement with the service operator.

MEETING ROOMS
Meeting rooms of various configurations are available at KONTORA coworking locations. Meeting rooms can be used by active residents as well as coworking guests.
The reservation of the meeting room is possible for certain time within the working hours of the reception desk or within non-working hours in case of a prior agreement of KONTORA coworking representative. The beginning of the use of the meeting room starts from the time mentioned in the reservation and finishes at the end of the reservation time. Users of the meeting room have to vacate a room until the end of the booking time so that the representatives have time to process the preparation of this room for subsequent users.
The basic equipment in the meeting room is a table or a set of tables and the appropriate number of office chairs. Per a specific request and agreement with the coworking representative the meeting room can be beforehand equipped with the following stuff: flipchart, coloured markers, LCD screen.
A simultaneous number of users must not exceed the number of seats provided in the relevant meeting room.

Booking of a meeting room by an active resident
Active coworking residents may use meeting rooms within the allocated free time, which is provided by the relevant package of services (subscription), by paying for the service due to the actual rates or by other ways agreed with the KONTORA coworking representative. The minimum booking time for active residents of any meeting room is 30 minutes. Booking a meeting room by an active resident can be done in one of the following ways:
  • direct contact with a coworking representative;
  • self-booking request through a web application or mobile application.
In case of a self-booking request, the coworking representative will later confirm the booking. The confirmation of a booking of a meeting room is an e-mail received by the active resident to the address indicated previously by him / her when filling out the registration form.

Booking of a meeting room by a coworking guest
Coworking guests can use the meeting rooms by paying for the meeting room reservation service due to the actual rates, or under other conditions agreed with the KONTORA coworking representative. The minimum booking time for coworking guests of any meeting room is 2 hours.
The meeting room by a coworking guest can be booked in one of the following ways:
  • direct contact with a coworking representative;
  • self-booking request through a web application or mobile application.
In case of a self-booking request, the coworking representative will later confirm the booking. The confirmation of a booking of a meeting room is an e-mail received by the active resident to the address indicated previously by him / her when filling out the registration form. Rated meeting room booking is being processed due to the current rate on the relevant location.

Payment for a meeting room booking
Payment for a meeting room booking is made by transferring funds to the transaction account of the KONTORA coworking operator or using a bank card directly at the reception desk of the relevant location.
Preferably, it is not required to make a prepayment while booking a meeting room, but in some cases, particularly due to increased demand, the service operator may require a guarantee prepayment for the booking service.

LOUNGE
The KONTORA coworking lounge area is common for use by all active coworking residents and is intended for: rest, consumption of food and beverages, informal meetings and conversations. The lounge area can be used by active coworking residents and coworking guests (by agreement) within the reception desk working hours of the relevant location.

OFFICE BAR
In the KONTORA lounge area there is a self-service office bar, where active residents can get the following drinks free of charge: coffee, tea, water, etc., as well as consume other available food or snacks and use the necessary supplies. Food and drinks are provided free of charge and in unlimited quantities, but can be consumed by active residents only within the coworking area without the possibility of taking them outside the territory of such services.
In the area of ​​the office bar there may be a list of drinks or products that are provided on a paid basis with appropriate instructions for payment for them. Such products and beverages may be purchased and consumed within or outside coworking.
Coworking guests are free to use the office bar on the same terms as active coworking residents, unless otherwise agreed with active residents.
Users of the “meeting room reservation” service are free to use the services of the office bar on the same terms as active residents, unless otherwise agreed with the coworking representative at the time of booking.
In order to comply with sanitary norms and regulations, active residents as well as coworking guests are not allowed to leave personal belongings, including their own food and beverages, in the office bar area.

CORPORATE KITCHEN
In the coworking lounge area there is a corporate kitchen, which is equipped with the following common equipment: refrigerator, microwave oven, sink for washing dishes etc. Such equipment can be used by active coworking residents without limit within the working hours of the reception area at the appropriate location.
In order to comply with sanitary norms and regulations, active residents and coworking guests are not allowed to leave personal belongings, including their own food and beverages, in the corporate kitchen area, except for specially designated areas, including common areas of ​​use in a shared refrigerator.
In order to comply with sanitary norms and regulations, it is not allowed to leave the place of eating and dishes uncleaned.
In order to comply with sanitary norms and order, coworking representatives have the right to dispose of food or products of residents that are unfit for consumption and may cause unpleasant odors, spoil the common environment (including the refrigerator) or cause poisoning in case of consumption. It is not allowed to store any food or products without proper closed packaging.

CLIMATE CONTROL
In the coworking space there are industrial systems of supply ventilation, exhaust ventilation, and climate control systems of each zone.
Supply and exhaust ventilation systems provide regulated replacement of exhaust air in each area. Such systems are operated and serviced by KONTORA coworking service team or third parties.
The climate control system provides heating (in the cold season) and cooling (in the warm season) of the relevant common area or a specific coworking space. Such systems are operated and serviced by the KONTORA coworking service team or third parties. Within the allotted space, such as team and meeting rooms, active residents and coworking guests have the right to control the climate control system independently during their stay in such areas, for example: switch on / off / control the fan coil air flow speed and temperature.
The service operator leaves the right to control the climate control system in the designated spaces for teams (team rooms) at a time when there are no active coworking residents innside, in order to rationally use resources and maintain a safe temperature throughout the facility.

ACTIVE RESIDENTS AND PERSONAL DATA
Any active resident of KONTORA coworking has to go through the procedure of registration and acquaintance with the current Terms and Conditions before receiving any of coworking services, and confirm this fact by signing the registration form.
Personal data about active and former residents may be stored in a personal database on the server of the service operator or related service provider, including software rental services used by the operator to carry out its services.

SECURITY
In order to ensure general safety, fire safety, and to preserve the property of coworking and residents, as well as to ensure information security, the following means and security regulations may be used in the coworking area:
  1. Physical security services of the object, including representatives of third-party organizations (security guards) with which the owner of the object (business center) or service operator has established a contractual relationship for the protection of the object and its properties.
  2. Audio and video surveillance with recording of events stored on the server of the owner of the object (business center) and / or service operator.
  3. Access control system (ACS), which provides regulated access of active residents to the relevant areas and private offices (team rooms) using access cards or fingerprints, all the information about the relevant events (inputs / outputs) is stored on the servers of the service operator.
  4. Firewall - a physical device or software application that is configured to allow and deny, encrypt, pass network traffic between areas of different network security according to a set of security rules.
  5. Special means of notification, warning and fire extinguishing, which are used to prevent smoke, fire and extinguishing flames.

BEHAVIOR AND GENERAL RULES
In order to provide comfortable conditions of stay for all coworking active residents, visitors and guests, all residents of KONTORA coworking should be friendly to each other, respect each other's comfort and privacy, do not interfere with work or leisure of other residents or guests, or endanger their safety.

It is forbidden to show any disrespect for the views of other people, race, gender, political, religious, cultural beliefs, as well as to use violence and rudeness.

In common areas, including the public office, all conversations, telephone calls, or audio-video calls should be made at a moderate loudness level that does not interfere with other residents.

It is prohibited to store and / or use flammable substances and materials on the territory of coworking, as well as other objects, storage or use of which may cause a danger to people and the territory where coworking is located.

The use of common areas, shared open space office, private offices (team rooms), meeting rooms, etc., is allowed only for the direct and intended purpose unless otherwise agreed with the coworking representative. Furniture, some technical means, equipment and services located in these areas must be used according to the instructions and for their intended purpose.

In case of damage to any of the coworking properties, other than natural cause and disaster, the active resident who has caused such damage must compensate for repairs or the purchase of new equipment.

Alcohol consumption is allowed only with the prior permission of the KONTORA administration exclusively in the lounge zone. Any use of narcotic drugs or any other illegal substances is strictly prohibited by the Legislation of Ukraine.

Smoking of any kind of cigarettes (including electronic cigarettes and tobacco heating devices) or others (including vaping devices or hookah) on the territory of KONTORA coworking, including in private offices, is strictly prohibited and is allowed only in specially designated areas (if any) or outside the building.

In case of revealing facts that show signs of serious violations of established rules and regulations of conduct and may endanger human life or health, as well as contradict current regulations or laws of Ukraine, KONTORA coworking representatives have the right to report the relevant facts to the police.

SPECIAL OPERATING MODE AT THE TIME OF SARS-CoV-2 INFECTION THREAT
For the safety of all KONTORA coworking residents and in order to comply with the security standards established within KONTORA coworking, as well as local and national authorities, additional rules and restrictions on the use of coworking may be established in order to reduce the risk of SARS-CoV-2 (coronavirus) infection in particular common areas, including but not limited to:
- the requirement of a special schedule for working desks reservation in common areas,
- the requirement to follow social distances during work and leisure,
- the requirement to use disposable means of protection,
- the requirement to check the health conditions of coworking representatives, active residents, visitors and guests by visual inspection and checking the body temperature with special devices,
- a requirement for temporary restriction of access (release) of certain areas for the purpose of carrying out disinfection measures,
- etc.
